BOOKING PROCEDURES & CANCELLATION POLICY 2008

Step One:              Contact our reservations department to request seats. If they are available, we will give you a 10-day option. If not, we will advise of alternative dates/ tours with availability. info@backroadstouring.co.uk

Step Two:              Contact us to confirm the option. If we do not hear from you by the tenth day, the option automatically expires.

Once you confirm the option a legal contract exists and our assumption is that you agree to paying the required deposit (£100 per person for tours of four-days and under, and £250 for tours of five or more, or multiple tours).

Step Three:          You will receive pro-forma invoice if making the booking prior to sixty-days before departure. This will request immediate payment of the deposit. If we do not receive this within seven days, your tour booking will be automatically cancelled.
 
If you have to cancel your tour BEFORE the final payment date (sixty-day prior to departure) then you lose this deposit. This applies irrespective of when the cancellation is made, be it one day after initial booking or on the sixty-first day prior to the tour.  

If you are making the booking for a tour departing in LESS than sixty-days from the date of booking, you will receive an invoice for full and final payment. No pro-forma invoice will be sent.

PAYMENT
Payment can be made into our UK bank account in Sterling OR if you are wanting to pay into our local bank in your own local currency, you may do so at the exchange rate shown on your invoice.

The following Cancellation Policy penalties apply:

If cancelling between 59 and 31 days
. 5
0% of tour price, plus £10 p/person, per/night for any additional accommodation booked
. 100% of any theatre, rail or internal flight tickets booked
. No cancellation charge for transfers.

If cancelling between 30 and 15 days           
. 100% of tour price
. 100% of any theatre, rail or internal flight tickets booked plus £10 per person, per night for any additional accommodation booked
. No cancellation charge for transfers.

If cancelling less than 14 days
. 100% of tour price
. 100% of any theatre, rail or internal flight tickets booked
plus £20 p/person, p/night for any additional accommodation booked
. 50% of any airport transfer

Amendments to a Booking
There is a flat rate charge of £25 per booking for any changes made to a booking in terms of tour dates, or if switching tours unless otherwise agreed.

YOU ARE ADVISED TO BUY TOUR INSURANCE TO COVER YOURSELF
IN CASE OF YOUR HAVING TO CANCEL YOUR TOUR.

We are unable to book the airline portion of the tour (that must be booked locally) and we strongly recommend that an insurance policy is purchased for cover in the event of the traveller having to cancel for any reason once payment has been made for the tour.

We are happy to accept MasterCard/Visa but do not accept other cards. Please note, however, that there is a 3.5% surcharge to your tour price charged if you use the credit card facility. You should also note that the exchange rate will be determined by your credit card company on the day of transaction and it may not exactly accord with the rate shown on the currency converter on our web site.
